2. Legal basis and purpose of processing

We process your personal data on the following legal grounds:

  • Consent (Art. 6(1)(a) GDPR) — based on your voluntary consent we process data collected by analytics cookies (Google Analytics). You may withdraw consent at any time in your browser settings or in the cookie banner.
  • Consent for special-category data (art. 9(2)(a) GDPR) - health information about the person in care (chronic conditions, mobility level) is processed solely on the explicit consent of the person filling in the form, who confirms they are authorised to share it.
  • Performance of a contract (Art. 6(1)(b) GDPR) — we process the data given in the contact form to help you find a suitable care home, including contacting you to match facilities.
  • Legitimate interests (Art. 6(1)(f) GDPR) — we process data for analytical and statistical purposes, to improve the quality of services and for potential defense against claims.
  • Legal obligation (Art. 6(1)(c) GDPR) — we process data to the extent required by tax and accounting laws.

3. Scope of collected data

As part of providing the service we collect the following data:

If you begin filling in the contact form and accept the data processing consent but never send it, we keep what you had entered - in particular the phone number and town - so that we can call you back and finish the enquiry with you. Health information is not stored without the separate consent we ask for before those questions.

Data provided in the contact form:

  • Full name
  • Phone number
  • Email address
  • Location (voivodeship, city)
  • Facility preferences (budget, level of care, room type)
  • Additional information (e.g. health condition, notes)
  • Preferred contact time

Technical data collected automatically:

  • IP address (anonymized in analytics)
  • Browser and operating system type
  • Date and time of site visits
  • Anonymous analytics data (Vercel Analytics — no cookies, no identifiers)

4. Recipients of data

Your data may be transferred to the following entities:

  • Vercel Inc. — website hosting and anonymous traffic analytics (Vercel Analytics, no cookies).
  • Google Ireland Limited — under the Google Analytics service (website traffic analytics). Data may be transferred to Google servers in the USA under standard contractual clauses.
  • Resend Inc. — email service provider for sending confirmations and communicating with care facilities.
  • Matched care facilities — contact data (name, phone) shared with facilities to deliver the care-home matching service.

5. Data retention period

We keep your data for the following periods:

  • Contact-form data — until the request is fulfilled and for up to 12 months from last contact, unless you ask us to delete it earlier.
  • Data from an unfinished contact form - a maximum of 30 days, after which it is deleted automatically, unless the enquiry is completed in the meantime.
  • Data processed based on consent (analytics) — until consent is withdrawn or the purpose of processing ceases.
  • Technical data (server logs) — for a maximum of 14 days.
  • Accounting and tax data — for 5 years from the end of the tax year, as required by tax law.

6. Your rights

Under the GDPR you have the following rights:

  • Right of access to your data and a copy of it.
  • Right to rectification of inaccurate or incomplete data.
  • Right to erasure ("right to be forgotten").
  • Right to restriction of processing.
  • Right to data portability in a structured format.
  • Right to object to processing based on legitimate interests.
  • Right to withdraw consent at any time — without affecting the lawfulness of processing carried out before its withdrawal.

7. Right to lodge a complaint

If you believe that the processing of your personal data infringes the GDPR, you have the right to lodge a complaint with the supervisory authority — the President of the Personal Data Protection Office (PUODO).

Our website uses cookies for the following purposes:

Necessary

Cookies required for the proper functioning of the site: remembering language preferences and the cookie choice. Without these cookies the site cannot function properly.

Analytics

Cookies used to analyze traffic on the site in order to improve the service. We use Google Analytics — a service of Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland). Google Analytics collects anonymous data about site visits (pages viewed, visit duration, traffic source). Data may be transferred to Google servers in the USA under standard contractual clauses.

Analytics cookies are only installed after you consent. On your first visit we show a banner where you can accept or reject them. You can change or withdraw your choice at any time via “Cookie settings” in the site footer. Until you consent, Google Analytics runs in denied Consent Mode and stores no cookies or identifiers. Necessary cookies cannot be disabled, as the site does not work correctly without them.

We apply appropriate technical and organizational measures to protect your personal data against unauthorized access, loss or destruction. The website uses an encrypted SSL/TLS connection.

10. Changes to the privacy policy

We reserve the right to change this privacy policy. We will notify you of material changes by updating the date on this page. We recommend checking this page regularly.

11. Voluntariness of providing data

Providing personal data in the contact form is voluntary but necessary to deliver the care-home matching service. Without contact data we cannot reach you. Installing analytics cookies is fully voluntary and does not affect the operation of the site.

12. Reviews of facilities

Reviews on the site come from two sources: submitted through our form, and collected from publicly available directory sites. The latter are labelled “external source” and their authors' names have been reduced to initials so that we do not publish personal data without a legal basis.

We do not verify whether a review's author actually used the facility's services. The full rules are described on the “Review verification” page.

If you wrote a review that we collected from a third-party site and do not want it published, write to kontakt@planetaseniora.pl - we will remove it promptly.
